Three different offices hold the records people usually come to the courthouse for, and only one of them is at the courthouse. Here is who has what.
Deeds, marriage licences, military discharges — Recorder of Deeds, Huntsville
Birth and death certificates — Randolph County Health Department, in Moberly. Not the Recorder.
Anything older than the Health Department holds — Missouri Bureau of Vital Records, Jefferson City
Most local directories get the second one wrong. Do not drive to Huntsville for a birth certificate.
Recorder of Deeds — Mark Price
372 Highway JJ, Suite 1H, Huntsville · 844-277-6555 ext. 330
mark.price@randolphcounty-mo.gov · Monday to Friday, 8 a.m. to 4 p.m.
randolphcountyrod.com · county page
Clerks: Denise Crutchfield and Rendi Boyd.
What the office records: deeds, deeds of trust, releases, easements, surveys, plats, restrictions, cemetery deeds and road rights of way, plus articles of incorporation, patents, affidavits, wills, military discharge papers and tax liens. Records are kept on site, on microfilm and electronically.
Getting a copy of your deed
In person — Suite 1H, weekdays 8 to 4. $1 per page, plus $1 per document if you need it certified.
By phone — ext. 330.
Online — randolphmo.icounty.com, which searches deed images and the index.
The online system looks paywalled and is not. There is a free tier:
Registered User — $0 subscription, $1 per page printed plus a $1 service fee
Single day — $10
Monthly single user — $50
Monthly sharable — $150, 75 cents a page
Monthly volume — $250, 50 cents a page
Register a free account and search all you like; you only pay to print. E-recording is available through the same system.
Recording fees
Real estate document, standard format — $26 first page, $3 each additional
Real estate document, non-standard format — $51 first page, $3 each additional
UCC fixture filing — $26, then $3
Plat, 18½ by 24 inches — $46, then $25
Plat, 24 by 36 inches — $71, then $50
Survey, 18 by 24 — $26, then $5
Survey, 24 by 36 — $31, then $10
Tax lien — $9 · Discharge — $7.50
Copywork — $1 a page · Certification — $1 a document
Credit card surcharge — 2.59% or $2 minimum, whichever is greater
That $25 gap between standard and non-standard is worth real money. Missouri sets format rules — margins, paper size, font, the first-page information block — and a document that breaks them costs double to record. The Recorder publishes real estate guidelines and a standardization summary. Read them before you prepare a document yourself.
Marriage licence
$53, cash or credit/debit only, with a $2 bank fee on cards. Certified copy $9.
Both people must be present when you apply. The one exception is an affidavit where a party is absent because of military service, disability or incarceration — and that route has its own notarisation requirements under RSMo 451.040.
Bring: photo ID proving identity and age — a driver’s licence or other government-issued ID — and Social Security numbers for both parties. Both must be 18 or older.
No waiting period. Neither the county nor the statute imposes one.
Two deadlines people miss. The licence is void after thirty days from issuance — that is state law, not county policy. And the completed licence must be returned to the Recorder within 15 days of the ceremony. If it is not returned, there is no record of your marriage.
Also in statute, and it surprises people: common-law marriage is null and void in Missouri. Living together for any number of years creates nothing.
The Recorder’s marriage licence page does not say where in Missouri the licence may be used. If you are marrying outside Randolph County, confirm with the Recorder at ext. 330 before you plan around it.
Military discharge papers
Recording a DD-214 is free, and certified copies are free. Not reduced — free. Details here.
Worth doing. A recorded discharge means the county can produce a certified copy when a veteran needs one for benefits, a VA claim or a funeral, without going to the National Archives. More in our Veteran Services folder.
